How to book airport transfer

You can share your Sales Portal on your website with your guests and partners to give them the opportunity to book by themselves. You can also book for them directly through your TourDesk account. You’ll earn the same commission, regardless of whether your guests book by themselves or if you do it for them through the Agent system.


Click Book > Airport Transfer in the left hand side menu. 


You use the filters to narrow down the airport transfer options. You have to choose a departure point, arrival point and departure date from the drop down and then click Book Now on the right hand side. 



Choose the departure time and number of passengers from the drop-down and click Add to Order. Add the guests name, email, phone number and if you’d like, a hotel reference and agent reference. 


hotel reference could be the guest’s room number or booking number. Adding this information can be very useful e.g. if a guest is late for pickup, then you can quickly reach out to check on them. It’s also useful if e.g. one guest books an activity but doesn't share a last name with the rest of the group. 


An agent reference could be e.g. your name. The Agent Reference is frequently used by receptionists/concierges to track the bookings they make. In the Settlement Report you get sent from TourDesk every month, you can view the sales and commissions of each agent, sorted by the Agent Reference. Most hotels reward their staff with a portion of their earned commission.

  • Click Reserve, add the guest’s credit-card number and complete the payment. Note that the booking is not confirmed until the payment has been received.
  • Click Link to checkout if the guest would prefer to enter the credit-card number themselves. A link will appear that you can send to your guest via email to complete the payment. You can also offer the guest to scan the QR code that appears to complete the payment. Note that the booking is not confirmed until the payment has been received.


You’ve booked! You will see the guest’s voucher and receipt in the Agent System, you can forward them via email to your guest.
